Heritage Christian Online School (HCOS) is a K-12 Distributed Learning (DL) school, providing fully accredited, Christian education to students in BC. HCOS has an opening for an SE Office Assistant working with the Special Education OfficeThis is a REMOTE position at 24 hours per week. The primary role of this position is to provide administrative assistance to Special Education (SE) Division.

As the HCOS SE Office Assistant, your duties and responsibilities will include:

  • Complete payments and control expenses by receiving, processing, coding, verifying, recording, filing and reconciling invoices and expenditures
  • Assist with purchases
  • Complete journal transfers and deposits
  • Reconcile credit card purchases and statements
  • Track resources and process buyouts, returns and transfers
  • Process staff reimbursements
  • Send statements to providers to ensure the receipt of all invoices for services rendered, and to verify planned services are rendered for the student(s)
  • Send out periodic progress update reminders
  • Create and maintain spreadsheets and Google sheets for the SE Department
  • Enter data into the various databases for the SE Department, ensuring accuracy of existing information and making necessary changes
  • Process and follow up on SE and LS form requests
  • Provide support to vendors, parents and teachers for agreement and form completion and follow up with missing documentation or signatures
  • Send and track agreements for services, assessments and lessons
  • Analyze, organize and compile data as needed
  • Assist with organizing and supporting projects and any other duties as requested by the SE Office Manager

We are looking for someone with the following Qualifications & Skills:

  • 3 years’ experience in an office environment and in Accounts Payables and Accounts Receivables
  • Proficient in Microsoft Office (Excel, Word, and Outlook) and Google Workspace, with the proven ability to learn other computer programs quickly
  • Excellent organizational skills
  • Ability to be discreet and handle confidential information sensitively
  • Ability to work in multi-faceted team environments both remotely and in-person
  • Proactive, systems thinking, solution, and customer service oriented
  • Flexible attitude towards innovation and change

Working Conditions & Physical Requirements:

  • Remote home office – ergonomically set up
  • Must be able to work in front of computer, keyboarding for extended periods of time
  • Occasional travel to meetings and conferences
  • Must be regularly and reliably available via Zoom, text and phone
  • Ability to do repetitive tasks and lift up to 20 lbs
