Heritage Christian Online School (HCOS) is a K-12 Distributed Learning (DL) school, providing fully accredited, Christian education to students in BC. As one of Western Canada’s largest online schools, we connect teachers with families and students to provide guidance and support via personalized, online, and face-to-face options.

HCOS has an opening in Special Education for an Administrative Assistant working with the Special Education Department. This is a part-time remote position at 24 hours per week. The primary role of this position is to support the SE Office with file and data management, event management, and providing administrative support to Special Education Directors and Administration Team.

As the SE Administrative Assistant, your duties and responsibilities will include:

A. Administrative Support

  • Assist with writing, editing and organizing emails and SOPHIE website updates
  • Support and organize Proof of Work, Report Card, IEP, Case Note, Student Learning Plan and Student Support Plan sweeps
  • Prepare Encom and FileMaker reports
  • Draft, research and proof documents
  • Summarize and follow up on meeting notes
  • Take and organize Student at Risk Team notes

B. File and Data Management

  • Manage calendars, including setting up meetings
  • Manage files in Google Drive
  • Prepare teacher evaluations and support onboarding and offboarding processes
  • Submit reimbursements
  • Assist in preparation for inspections and audits

C. Event Organization

  • Staff training and social events
  • Travel support: book hotels, flights, etc.
  • Support presentation preparation
  • Track staff birthdays

D. Any other related duties as requested

We are looking for someone with the following Qualifications & Skills:

  • Strong organizational, interpersonal, and time management skills 
  • Completed Administrative Assistant program preferred but not required
  • Able to be discreet and handle confidential information sensitively
  • Flexible attitude towards innovation and change
  • Ability to manage varying workloads and prioritize multiple tasks in a timely manner 
  • Professional communication skills
  • Technologically proficient: Microsoft Office, G-Suite, time and task management programs, databases, etc.

Working Conditions & Physical Requirements:

  • Remote home office – ergonomically set up
  • Must be able to work in front of computer, keyboarding for extended periods of time
  • Occasional travel to meetings and conferences
  • Must be regularly and reliably available via Zoom, text and phone
  • Ability to do repetitive tasks and lift up to 20 lbs
