Heritage Christian Online School (HCOS) is a K-12 Provincial Online Learning School, providing fully accredited, Christian education to students in BC. As one of Western Canada’s largest online schools, we connect teachers with families and students to provide guidance and support via personalized, online, and face-to-face options.

HCOS has an opening for an Education Assistant (EA) Office Data & Documents Coordinator working with the EA Office. This is a remote position at 24 hours per week. The primary purpose of this position is to support the EA Office with data and documentation processes, providing administrative support to the EA Office Manager, EAs, and Inclusive Education (IE) Case Managers.   

As the Education Assistant Data & Documents Coordinator, your duties and responsibilities will include:

  • Assist with EA payroll, review invoices, monitor budgets, prep reports
  • Resolve discrepancies with invoicing
  • Complete EA reporting sweeps
  • Communicate new EA hires to Case Managers
  • Provide ongoing support to EAs
  • Support processes within the EA office with documents and databases
  • Request references and criminal record checks for EA hires and renewals
  • Create and maintain spreadsheets for data collection
  • Maintain FileMaker database
  • Sort and input survey results
  • Complete Personnel Maintenance Forms for HR

We are looking for someone with the following Qualifications & Skills:

  • Demonstrated commitment and lifestyle reflective of KCCS Foundational Beliefs
  • Certificate in Office Administration or equivalent experience
  • Knowledge of Inclusive Education and/or the role of EAs an asset
  • Organized, detail-oriented, accurate, and efficient with timely follow-up
  • Professional communication skills

  • Collaborative and team-oriented with the ability to work independently
  • Able to be discreet and handle confidential information sensitively
  • Empathetic and authentic care towards people
  • Flexible attitude towards innovation and change
  • Technologically proficient, including demonstrated experience in Microsoft Office, and Google Workspace
  • Ability to travel on occasion to meetings and conferences

What we offer:

  • Competitive wage $20.00 -$24.97 per hour
