Heritage Christian Online School (HCOS) is a K-12 Provincial Online Learning School, providing fully accredited, Christian education to students in BC. As one of Western Canada’s largest online schools, we connect teachers with families and students to provide guidance and support via personalized, online, and face-to-face options.

HCOS has an opening for an Assistant to the Registrar working with the Registrar. This is a full-time onsite permanent position at 40 hours per week (with the possibility of working remotely). The primary role of this position is to assist the Registrar. This will include welcoming new applicants, answering phone calls and assisting with student records.

As the Assistant to the Registrar, your duties and responsibilities will include:

  • Assist the Registrar to assess new applications submitted to Heritage Christian Online School (HCOS) in a timely manner
  • Assist in the Cross-Enrollment intake office by answering student’s phone calls and processing applications
  • Assist with answering the main HCOS phone and Live Chat
  • Assist with reviewing applications and uploading documents
  • Maintain spreadsheets with additional information relating to families who have applied
  • Assist with writing and compiling processes and procedures in the Registrar’s office for easy retrieval
  • Assist with the processing of incoming and outgoing student records
  • Provide additional support within the Registrar’s office as needed

We are looking for someone with the following Qualifications & Skills:

  • Demonstrated commitment and lifestyle reflective of KCCS Foundational Beliefs
  • At least two (2) years’ experience in an office environment is an asset
  • Excellent written and oral communication skills
  • Attention to detail is an absolute necessity
  • Ability to prioritize tasks effectively, to work independently as well as a team to achieve objectives
  • Proven ability to handle confidential or sensitive information in a discreet manner
  • Must be comfortable answering the phone via Zoom, often in a busy environment
  • Willing to learn new systems and assist other departments as required
  • Must have a flexible attitude towards innovation and change; willingness to learn and grow in knowledge
  • Proficiency in Google Drive, Microsoft Office, Outlook, Acrobat DC, Zoom, etc

Working Conditions & Physical Requirements:

  • This position will initially be onsite, but may be a hybrid work environment (40 hours per week)
  • Extended time on phone reaching out to families
  • May need to work outside of normal working hours on occasion
  • Sitting at a desk for extended periods of time
